1. What does “retirement” for The Conveyancer® mean?

  • Retirement (also referred to as decommissioning) means that on the specified date, users of The Conveyancer in your province will no longer be able to log into the application.
  • For customers in Saskatchewan, Manitoba and Alberta the retirement date will be in early 2022.
  • At that time, when you click on The Conveyancer icon or any other shortcut to The Conveyancer, a message will appear stating that the application is no longer available as it has been officially retired.

2. Why is DoProcess decommissioning The Conveyancer?

  • The Conveyancer is being decommissioned as it is no longer the best solution for our customers given Unity’s superior functionality. Unity is Canada’s premium conveyancing and practice management platform that is, perhaps, the most advanced of its kind in the world. It offers superior timesaving functionality and is the secure, cloud-based replacement to The Conveyancer.
  • This is also part of how we are working to help keep legal professionals at the centre of the real estate closing process. As new technologies continue to shift online, Unity’s cloud-based design will enable it to be continually updated with new functionality and benefits to you.

3. Why are you communicating the retirement at this time?

  • All customers in your province have completed the transition to Unity. Most, if not all of your Conveyancer records should be closed well in advance of its retirement.
  • We are providing notice so far in advance of decommissioning so that we can help customers plan ahead for when The Conveyancer can no longer be accessed.

4. Will DoProcess still be updating The Conveyancer?

  • At some point in 2021 we will no longer update The Conveyancer. For example, if future legislative changes are made or changes to operating systems or word processors are made, we will not be making changes to the program for compatibility.

5. Is The Conveyancer’s retirement a result of the Dye and Durham acquisition?

  • No, decommissioning The Conveyancer has been part of the plan since 2015 when we started building Unity. Unity is a superior conveyancing and practice management platform that was always intended to replace The Conveyancer with more powerful functionality and benefits for our customers.

6. What should I do if I still have opened but unused records in The Conveyancer?

  • DoProcess will provide credits when a record is created in The Conveyancer and then recreated in Unity. This requires proof of purchase from both applications, which is a list of applicable records. These records must be recreated in Unity before retirement. Email the lists with a brief explanation to inquiries@doprocess.com.

7. What should I do if I still have incomplete records in The Conveyancer?

  • The best thing you can do is complete the record as soon as possible. You still have more than enough time to finish all reports and other activities to close the record before retirement in early 2022.
  • If you have records with a closing date after the retirement date, it is strongly recommended that you recreate the matter in Unity and work on it there. Please refer to question 6 for directions on how to request a credit for records created in The Conveyancer and then recreated in Unity.
  • Here are some other suggestions for preparing for retirement when you have incomplete records:
  • Generate lists with information you may require that did not migrate to Unity. Remember that during your migration to Unity your contact client data, master templates, letterheads, and more were automatically moved from The Conveyancer to Unity so that information will be available in Unity.
    • Generate lists for any new parties that may have been added since your firm’s migration to Unity.
    • Create a list of outstanding undertakings.
    • Follow up on outstanding undertakings and produce follow up letters to the other lawyer or lender.
    • Complete reporting for lender reports, EMP reports, and title insurance.

8. Is there anything special I need to do to prepare for retirement?

  • You should ensure that documents related to records are stored on a separate disk and/or printed and are accessible.
  • If you have incomplete records, you are strongly advised to complete them as soon as possible as you will no longer be able to access them after retirement.
  • For records with a closing date after the retirement date or records which still require reports, you can recreate them in Unity and get credit for the records. This requires proof of purchase from both applications (see question 6).
  • Use the Advanced List feature to create lists that capture any data that you specify. Please note that this feature will not capture data in archived records (see question 12).
  • Refer to the Advanced Search (List) Feature topic in the Help file for directions for using this feature.

9. Besides the Advanced List feature, are there any other tools to help me capture data?

  • There is a new feature in the Go To menu named Create Extraction File which allows you to create a report of most of the data in your Purchase, Sale, and Mortgage records (which are not archived).
  • Please note that depending on your computer and the number of unarchived records in your directory, this process could run overnight.

10. Do I need to uninstall The Conveyancer?

  • No, uninstalling The Conveyancer is not required.

11. Can I still view documents and forms generated for a record?

  • Yes, as long as the records have not been archived, all documents and forms will continue to be available on the drive where The Conveyancer is installed (i.e. C:\tcwin\DOCS\<record name>, where C: is replaced by the appropriate letter). This document tree will remain on your drive.

12. How can I access (restore) archived records?

  • Once the retirement date is reached, you will not be able to access archived records. If you need them, restore the records. If you archived the documents with the record, the documents will be restored to the \tcwin\DOCS\<record name> folder.
  • After restoring the records, you can generate lists with required data from the restored records or run the new Create Extraction File (see question 9).
